Tax Tips for 2013

Hello to all of our Independent Contractors.  It is that time of year again where we all here at  Sammons thought you all might like a few tax tips to make next year’s tax time that much easier on you.  Well here it goes:

            1)  Quarterly Estimated Tax Payments.  I don’t know how many of you utilize these         payments, but making quarterly payments is mandatory says the IRS if you want to avoid paying a tax under-payment penalty just for having a tax bill due, year after year.  These payment due dates are approximately April 15, June 15, September 15, and January 15 every year.  The accountant you use to prepare your taxes should be able to set you up with quarterly estimated tax payments or the form can be found on www.irs.gov and it is called 1040-ES.

  2)  Cash Payments.  Save your receipts for any cash payments you make while on the road,       because most likely, those expenses are qualified business expenses.  These often overlooked    expenses, such as food, tolls, etc., do add up over time and can reduce your overall tax bill every year.  A good strategy is to use an 8 ½’ by 11’ envelope for each month of the year, have it riding in the cab with you at all times, and put these receipts in the envelope as you get them so you don’t lose the receipts.  If you find some downtime, pull the receipts for a prior month out and summarize them, trust me, this will save you from having to do them all at once during the next Tax Season.

  3)  Monthly Statements.  For Lease Purchase folks, save all of your monthly settlement statements and for the Owner Operators, save all of your weekly settlement statements.  If possible, summarize this data in a spreadsheet on an on-going basis.  Don’t wholly rely on the yearly tax     information that Sammons gives you because having the settlement statements available for backup will help your accountant immensely.  Also, the only expenses that show up on the settlement    statements are Sammons-related expenditures that we paid on your behalf.

  4)  Personally Paid Business Expenses.  Regardless if you pay by cash, check, or credit card, if Sammons doesn’t make the payment for you, we won’t know about it and won’t   include it in any summary that we provide to you.  Keep a close track of these personally paid business expenses as every business expense helps in reducing your overall tax bill.

5)  Partners in Business.  This is a business manual that Sammons gave to each            Independent Contractor many months back.  Please do use this manual for more than a paper weight.  It is a very helpful guide on best practices for all aspects of trucking, but especially gives a new viewpoint and hints on financial matters.  The perspectives shared in this book will help you run your business more profitably.

New Hours of Service

July 1st is when the latest changes in Hours of Service will become effective (unless overruled by court).

This will impact everyone who is required to use log books in America.  The changes are as follows:

Restarts can only be used once a week (168 hours between the beginning of each restart will now be required).

Restarts must include two 1am to 5am time periods.  Examples:  if you start your restart at 7pm you will have a legal 34 hour restart at 5 am.  On the other extreme, if you start your off duty at 2 am you will have to do 51 hours before you can truck again.  Depending on when you begin your restart will seriously impact just how many hours you will have to sit to complete a restart.

You cannot be driving after 8 hours of continuous on duty or driving without a 30 minute break.  Breaks certainly can be taken any time before 8 hours.  For breaks to count they must be at least 30 minutes long.

If the courts change these we will be sending the word out.  However, it is smart to understand these changes and get ready to comply on July 1, 2013.

2013 Referral Drawing

It took us a while to come up with a “reward ” for the 2013 referral drawing. We’ve decided to take a departure from the Harleys. This year’s reward is something that we know every contractor should be able to use, a set of 10 tires.

The rules are the same as the past. If you refer a person that leases on to Sammons we pay the referral bonus, ($1000 for an O/O and $500 for a L/P driver). For everyone you refer that leases on we put your name in for a chance at a new set of tires.

We will draw in January at the company kickoff party. For those who are not interested in a set of tires (a $6,250 value) we will give a $4000 cash prize. (For a L/P driver taking the cash in lieu of tires the monies will be split 74% to the truck and 26% to the contractor)

We have all been very happy and thankful of all the wonderful things you say about Sammons and just want to be able to give something back to show our appreciation. As always please stay safe on the road so you can get home to your families and loved ones.

2013 Highway Hero, Jason Harte

Sammons is proud of all of our contractors. Sometimes however we get the opportunity to find out that one of our contractors is getting recognition for being exceptional.

This past month it was true for our operator Jason Harte.  Jason was chosen to receive this year’s Goodyear Highway Hero.  Goodyear has been awarding truckers for the past 30 years for the most outstanding hero event over the past year.

Jason helped rescue a family after a multiple vehicle accident in Wyoming.  His immediate help along with his EMT training helped these people through a crisis.   We are proud of Jason and congratulate him on being chosen by Goodyear to represent the best of what drivers are.
